This document outlines the terms and conditions governing the use of the facilities at Nirmala Auditorium, hereinafter referred to as "the Auditorium." All individuals, organizations, or entities (hereinafter referred to as "the Hirer") who enter into a rental agreement for the use of the premises are bound by the following terms, which are legally enforceable. Any breach of the following conditions shall entitle the Management of Nirmala Auditorium to take necessary legal or administrative action, including but not limited to cancellation of the event, forfeiture of deposits, and recovery of damages or losses incurred. The decision of the management in this regard shall be final and binding.

1. Prohibited Uses and Activities

• The Auditorium premises shall not be used for wedding ceremonies or functions of a similar nature.
• Use of confetti, dry or wet rangoli, firecrackers, open flames, or hazardous materials is strictly prohibited within the premises.
• Smoking, consumption of alcohol, use of tobacco products including pan, gutkha, and zarda, and serving or consumption of beverages inside the main auditorium are expressly forbidden.
• No animals or pets shall be brought into the premises under any circumstances.
• No extension of stage is permitted.
• Seating capacity - number of guests should not increase beyond the seating capacity. No person/ people will be allowed to sit or stand in the aisles and at entry/ exit.
• Naked fire in any form like Diyas, Candles, Mashals etc. on stage is strictly prohibited.
• Sprinkling of Colours (dry or liquid) on stage or any place in Auditorium premises is strictly prohibited.
• There is no provision for an aerial act on the stage. The existing Bars & Beams are only meant for lights, curtains, props etc. Aerial acts are not permitted.
• No painting & carpentry work is allowed in foyer area.
• No Lunch / Dinner / Food packets & soft drinks are allowed to be served inside the hall.

2. Event Timing and Duration

• All events shall conclude no later than 10:00 PM as mandated by local law.
• The Hirer must make sure to completely vacate the auditorium including the foyer, green rooms and other areas by the stipulated time.

3. Use of Premises

• No decorations, promotional materials, or branding elements shall be affixed to any surface using nails, adhesives, tapes, or pins.
• Arch gates, stall installations, or temporary structures shall not be erected at the Main Entrance or near the exhibition areas unless specifically approved by the Management.
• A designated area may be provided for branding purposes, subject to prior written approval.

4. Food and Beverage Policy

• The consumption and distribution of food and beverages is strictly restricted to designated cafeteria or outdoor areas, as notified by the Management.
• No food packets, snacks, or soft drinks shall be allowed inside the auditorium during performance hours.

5. Booking & Payments Charges

1. (i) Security Deposit:
   A refundable security deposit of ₹15,000/- is mandatory and must be paid in advance. This amount will be returned post-event, subject to a satisfactory inspection of the premises and adherence to all booking terms.
2. (ii) Open Dining/Lawn Charges:
   Additional charge of ₹15,000/-.
3. (iii) Applicable Taxes:
   Goods and Services Tax (GST) at the rate of 18% shall be levied on the total invoice amount, as per prevailing government norms.
4. (iv) Advance Payment:
   A minimum of 30% of the total booking amount must be deposited at the time of reservation to confirm the booking.
5. (v) Balance Payment:
   The remaining balance shall be payable no later than seven (7) days prior to the scheduled event date. Non-payment within the stipulated period may result in cancellation of the booking without refund.
6. (vi) Additional Time Usage:
   The standard hall booking covers a duration of 4, 8, 12 hours. In the event of usage exceeding the allotted time, additional charges of ₹5,000/- per 30 minutes shall apply.

6. Cancellation & Date Change Policy

• No refund shall be provided in case of cancellation by the client under any circumstances.
• A one-time date change is permitted, subject to availability.
• Date changes are not allowed more than once.

7. Permissions and Regulatory Compliance

• The Hirer shall obtain and submit a written permission letter from the Commissioner of Police, Jaipur, prior to the event. (If Applicable)
• In case of sale or display of goods, the Hirer must submit a valid No Objection Certificate (NOC) from the Sales Tax Department at least seven (7) days in advance.
• For musical performances, either live or recorded, a copyright compliance certificate from Phonographic Performance Ltd. (PPL), New Delhi, must be submitted. This applies even if the performers hold rights to their compositions.

8. Technical and Safety Guidelines

• No integration of external sound systems with the in-house audio setup shall be permitted without express written consent.
• External lighting equipment are not allowed without permission. Loose or taped connections are also not allowed.
• Aerial acts, including the use of cranes, zip lines, or similar devices, are strictly forbidden.
• Only masking tape may be used on stage for temporary markings. The use of cellophane, double-sided, or colored tapes is prohibited.

9. Green Room Regulations

• Smoking and consumption of alcoholic beverages are strictly prohibited in green rooms.
• Hirers are solely responsible for safeguarding personal belongings. The Management shall not bear any liability for losses incurred.
• The application of alta (mahavar) or any material causing stains is prohibited.

10. Parking and Vehicular Access

• Parking is provided at the vehicle owner’s risk. The Management disclaims liability for loss or damage to vehicles.
• Guest vehicles may be permitted entry for drop-off only and must exit immediately thereafter.

11. Cleanliness and Conduct

• The Hirer shall ensure cleanliness and hygiene are maintained throughout the duration of the event.
• The offering of tips to Auditorium staff is discouraged. Any solicitation should be reported to Management.
• The Hirer shall ensure that all dues, including additional or incidental charges, are cleared before vacating the premises.

12. Legal Jurisdiction and Management Rights

• The Management reserves the unilateral right to cancel or suspend any event in the case of violation of any of the aforementioned conditions. In such cases, no refund of advance payments or security deposits shall be entertained.
• All disputes shall fall under the exclusive jurisdiction of courts located in Jaipur, Rajasthan.
